The Project Coordinator will be responsible for organizing and tracking all freight and bills of lading for the entire company. The Project Coordinator will support the Project Managers and Account Managers, by collaborating with our suppliers and vendors and helping coordinate shipments and sequences as schedules change. The Project Coordinator will also create purchases orders along with performing duties as assigned by your manager.
Job Duties:
· Serve as the point of contact between Suppliers and Project/Account Managers for shipping of products, across multiple time zones.
· Support Account/Project Managers across multiple time zones.
· Managing and building relationships with multiple teams, internally and externally.
· Work with multiple trucking companies and find the best broker to ship the racking from suppliers to stay under the quoted shipping price to the customer.
· Negotiate pricing and try to beat the quate to the customer to save the company money
· Develop relationships with freight brokers and suppliers to set up trucks to support installations.
· Run the weekly PM/Design call and identify all shipments for the next two weeks.
· Manage changes to truck schedules and verify trucks have picked up materials and report to Project/Account Managers.
· Coordinate deliveries from multiple suppliers to job sites and report the status to Project/Account Managers.
· From the time a purchase order is issued to the Vendor, continually track all goods from vendors to the client sites.
· Build an excel file to track and verify customer received shipments.
· Work with Accounts Payable and Project/Account Managers on notification to invoice the client.
· Provide verbal and written communication on all activities daily and weekly as requested.
· Work hand in hand with procurement. This will include cutting PO’s, tracking acceptance and approvals from stakeholders, ordering of materials, calling vendors, etc.
· Fill in for the head of procurement when this person is out.
· Bachelor’s degree in business administration or project management but not required.
· Minimum 5 years’ experience.
· Demonstrate ability to negotiate with vendors.
· Experience with Microsoft Office suite, Specifically Outlook, Teams, Word, and Excel.
· Ability to prioritize and support multiple Project/Account Managers.
· Proactive attitude towards work, teamwork, and cooperation among customers and coworkers
· Ability to communicate clearly and develop relationships.
· Travel 25% to 50%
