Position Summary:

Under the leadership of the Director, Information Technology, the Project Coordinator/Administrative Assistant is an active member of the department team providing administrative and secretarial support and services that are consistent with the strategic vision, goals, philosophy and direction of CRHS.  The Project Coordinator/Administrative Assistant provides secretarial and administrative support services, such as organizing calendars, agendas and packets, taking meeting minutes, preparing correspondence in final form, arranging meetings and maintaining departmental records and files. The Project Coordinator/Administrative Assistant assists on projects by working collaboratively with others to initiate, plan, execute, monitor, and control and close out assigned projects for the health system. The Project Coordinator/Administrative Assistant helps ensure that these projects are completed on-time, on-budget and within scope. The Project Coordinator/Administrative Assistant facilitates effective communication with project team members, key stakeholders, vendors, committees, etc. through verbal discussions, written reports, dashboards, presentations, and group and one-on-one meetings. In collaboration with the IT Director, The Project Coordinator/Administrative Assistant documents and tracks project risks through resolution to help keep projects on track. The Project Coordinator/Administrative Assistant works on multiple simultaneous projects with a variety of team members and may be assigned hands-on project tasks to compete. 

 

 

Basic Qualifications:

  •          Education:

Requires a high school diploma with an emphasis in Office Occupation and Administrative Skills or a GED state certification.  An Associate’s degree is preferred.

  •         Experience:

Requires three to five years of work-related experience or any equivalent combination of education, training and experience.

Requires detailed knowledge of office productivity suites, exceptional communication and organizational skills.

  •          Licensure, Registrations & Certifications:

This job does not require any professional or technical licenses, registrations or certifications.

 

Essential Job Responsibilities:

  •         Manages project events and calendars, schedules meetings and establishes calendar priorities in consultation with the IT Director.
  •         Coordinates work among cross-discipline team members to ensure that everyone is on track with project requirements, deadlines, and schedules.
  •         Performs and completes a wide range of administrative tasks which include preparing correspondence, lists, forms, tables, charts, records, etc.
  •         Assists in the preparation of administrative reports, statements and inventories.
  •         Performs data analysis or information gathering, compiles information and drafts project status reports
  •         Develops and executes effective project communication plans and activities.
  •         Maintains a customer service focus throughout each project.
  •         Works closely with IT analysts and project stakeholders to coordinates the development of end user training strategies, plans and materials to enable                            successful system turnover to and usage by end users.
  •         Reports project change requests to IT Director and key stakeholders.
  •         Establishes, maintains and revises record keeping and filing systems. Classifies, sorts and files correspondence, articles, records, and other documents.
  •         Requisitions office supplies and distributes supplies when received.
  •         Performs other related job duties as assigned.
