Overview

The Project Coordinator (PC) will work with the General Manager to oversee the progression of custom rug projects from conception through to close-out, coordinating with stakeholders to ensure each project phase is executed efficiently, timely, and to the highest quality standards. This individual will manage communication, deadlines, and deliverables to ensure each custom rug project, whether residential or commercial, meets client expectations and company standards. The PC will also maintain the Custom & Contract Policy document.

Responsibilities – By Custom and/or Contract Project Phase

Concept Design:

  • Collaborate closely with JL sales representatives to capture initial ideas, design requirements, and project vision.
  • Stakeholders: Field & Contract Representatives
  • Related Tasks in Salesforce:
    1. Account Search
    2. Review details to ensure accuracy & update if necessary (Responsibility Center, Customer Price Group, Customer Discount Group, etc.)
    3. Create Customer Account, if necessary
    4. Log Project in JL Custom Pipeline

Design Development:

  • Provide Concept Design information to the Internal Design Team to ensure design concept feasibility.
    1. Utilize the Custom Request Hub for Feasibility Review with the Internal Design Team
    2. Ensure the alignment of design development with budget and production capabilities
    3. Ensure any required renderings are provided to the Client within the quoted lead time
  • Stakeholders: Kent Schneider & Custom Team
  • Related Tasks in Magento:
    1. Search for Designs and/or Inventory suitable for a specific project, exploring different size and price options
    2. Take note of Custom pricing options for further reference (must have working knowledge of all Custom Tiers)
    3. Review pricing for additional items like pads and/or Stain Resistant Coating (SRC)
  • Related Tasks in Salesforce:
    1. Regularly update project notes in JL Custom Pipeline to keep track of project progress effectively

Quoting:

  • Review RFQs and generate accurate, detailed project quotes (in collaboration with the Custom Team)
  • Ensure quotes reflect custom size, shape, color, and bespoke design requirements
  • Providing two main types of quotes:
    1. Self Service Quote – Obtainable for all Tier 1 and Tier 2 Custom Rugs from JL.com
    2. Quote Request – Requested from the Custom Team for more complex quotes, Tier 3 projects, or anytime a documented quote is needed
  • Stakeholders: Custom Team

Specification: (Design Firms close out their work and pass off to Purchaser)

  • Review Purchase Orders and ensure all information is accurate and transferred exactly into Sales Orders
  • Ensure the Custom Rug Agreement is fully completed, accurately submitted to the Custom Team with Customer PO
  • Confirm Custom Swatch order requests with the Custom Team
  • Ensure timely order confirmations and deposit requests, keeping customers and JL representatives informed
  • Work with the production team to resolve any specification issues before production, consulting with Nitesh Chaudhary on any potential issues
  • Stakeholders: Field & Contract Representatives/Custom Team/Nitesh Chaudhary
  • Related Tasks in Salesforce:
    1. Regularly update project notes in JL Custom Pipeline to keep track of project progress effectively

Order Placement:

  • Use the website for quick and automated processing of standard orders
  • Utilize the custom request hub for gathering detailed information for custom orders
  • Promptly respond to any additional requests from the custom team to expedite the order process
  • Confirm order placements, ensuring accurate details in Tracking Reports
  • Stakeholders: Custom Team

Production:

  • Monitor production status and maintain regular communication with the Custom Team and Sales Teams
  • Keep track of the latest weekly reports and provide proactive updates to minimize frequent inquiries
  • Notify the GM of potential delays before selecting transit options
  • Stakeholders: Field & Contract Representatives/Custom Team

Transit:

  • View and track shipping schedules, ensuring all transit requirements are met
    1. Notify the Custom Team of any orders requiring air freight due to production delays
    2. Notify the DC of any urgent orders
    3. Ensure all custom orders are processed through the DC in a timely fashion
  • Stakeholders: Custom Team/DC

Delivery & Close-Out:

  • Verify final product quality and ensure timely delivery to clients
  • Facilitate project close-out, gather final feedback from clients, and complete necessary documentation
  • Stakeholders: QC/DC/CSR

Qualifications

Requirements

  • Bachelor’s degree in Business, Project Management, Design, or a related field (preferred but not required).
  • Minimum of 3 years in project management, preferably within the flooring, interior design, or custom manufacturing industries.
  • Experience supporting sales groups or outside sales, with a strong focus on building and maintaining relationships with sales teams.
  • Strong communication skills, customer service orientation, and excellent problem-solving abilities.
  • Exceptional organizational skills, attention to detail, and the ability to manage multiple projects simultaneously.
  • Proficient in using technology to stay organized; tech-savvy with a strong command of Excel and Salesforce (Magento experience is a plus).
  • Ability to thrive in a dynamic, multi-project environment, effectively managing priorities and deadlines.
  • Adept at creating and improving processes, with a proactive approach to identifying inefficiencies and implementing solutions.
  • Strong interpersonal skills, with the ability to effectively collaborate with cross-functional teams and build lasting relationships with internal and external stakeholders.
