THE POSITION IN A NUTSHELL
Sciens Building Solutions is seeking a highly organized and proactive Project Coordinator to support our technology team in managing multiple projects and workstreams efficiently. Reporting to the Project Manager, this role will handle scheduling, documentation, administrative support, and stakeholder coordination.
The ideal candidate has experience in IT project environments, proficiency with project management tools, and strong Microsoft Suite skills (Excel, Teams, OneNote, etc.). Exposure to SAP or ERP systems is a plus. This role requires exceptional organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
WHAT YOU'LL BE DOING (and doing well!)
- Meeting Coordination: Schedule and manage meetings, ensuring alignment across stakeholders.
- Documentation & Tracking: Take detailed meeting notes, track risks, actions, issues, and decisions, and maintain project records.
- Administrative Support: Manage reporting, data entry, and communications related to projects.
- Project Management Tools: Utilize software such as Smartsheet, Microsoft Word, Excel, OneNote, PowerPoint, Teams, and SharePoint.
- Stakeholder Communication: Act as a liaison between teams, ensuring clear and timely updates.
WHAT WE LIKE ABOUT YOU
- Experience: Two (2)+ years in IT project coordination, software projects, or administrative support in a tech environment.
- Technical Skills: Familiarity with project management software, tools, and methodologies.
- Microsoft Suite Expertise: Strong proficiency in Excel, Teams, OneNote, and other Microsoft applications.
- SAP or ERP Experience (preferred): Prior exposure to SAP or similar systems is beneficial. Familiarity with SAP Cloud ALM (cALM) is a plus but not required—we value a willingness to learn.
- Time Management & Organization: Ability to multitask, prioritize effectively, and meet deadlines in a fast-paced environment.
- Communication & Collaboration: Strong verbal and written communication skills, with the ability to engage, motivate, and foster teamwork across departments.

- Education: Bachelor's degree or equivalent experience preferred.
