DescriptionThe Special Project Coordinator position requires a highly detail-oriented and organized individual to support the Vice President of Sales with reporting, data analysis and special events and projects. Reporting and data analysis will come from the customer relationship management (CRM) system, Momentus as well as Microsoft Suite and other software tools as provided. Data analysis includes financial reporting, space analysis and auditing of accounts from account booking through closing. Professional reports will be required as assigned. The position requires working with Momentus administrator to support sales needs as well as sales team members. Some projects may require work to be completed with other department representatives as assigned.
Additionally, the position supports sales special events, site visits and special projects as needed. This role requires the ability to think ahead, make process improvement recommendations, and adapt quickly in a fast-paced environment. The incumbent reports to the Vice President of Sales.
Responsibilities
- Support Vice President with monthly and annual forecast and budgeting.
- Work with Vice President on special customer events and site tours as required and/or assigned.
- Research and provide data status as assigned to other departments to include marketing, communications and creative services.
- Supports and audit data in Momentus. Works with sales team to ensure data entry of events matches across the enterprise.
- Work with Momentus Administrator to support sales needs and updates in Momentus as required.
- Generate reports from Momentous to include daily/weekly/monthly and annual sales and event reports, PACE reports, booking reports, COI status reports, contract status reports, and additional reports as assigned. Work with Sales Contract Administrator and Sales Coordinator as needed on reports.
- Works with Senior Director of Sales to conduct quarterly space audits ensuring space is maximized annually.
- Ensure that proper signoffs are obtained on sales memos as required.
- Provide professional and efficient service and communication to Center clients as needed by VP, SDOS or sales team members.
- Other Duties as assigned by the supervisor and perform other related tasks as assigned.
Qualifications
- Minimum of two (2) years of office-related experience, preferably in procurement, contracting and/or paralegal activities; OR
- Bachelor of Arts or Science degree
- Any equivalent combination of experience, training, and/or education.
