Williams Executive Search seeks a highly organized and detail-oriented Project Coordinator to provide essential administrative and logistical support for executive search projects. In this role, you will play a pivotal part in ensuring the smooth and efficient execution of recruitment processes, maintaining seamless communication, and managing the operational elements of complex search projects.

Key Responsibilities:

  • Coordinate logistics, including scheduling interviews, meetings, and conference calls, and ensure timely communication with clients and candidates.

  • Prepare comprehensive documentation, including candidate profiles, client briefings, search updates, and progress reports.

  • Assist consultants and team members with administrative tasks such as data entry, file management, travel arrangements, and expense reporting.

  • Maintain and update candidate and client databases to ensure accuracy and timely retrieval of information.

  • Support project timelines, ensuring deadlines are met and deliverables are completed to high standards.

  • Act as a primary point of contact for administrative queries from clients, candidates, and internal team members, demonstrating excellent customer service and professionalism.

  • Collaborate effectively with consultants and researchers to ensure the alignment of project milestones.

Qualifications:

  • Bachelor's degree required.

  • Minimum of 2 years of administrative, coordination, or project management experience, preferably within professional services, recruitment, or executive search environments.

  • Exceptional organizational skills and meticulous attention to detail.

  • Strong interpersonal and communication abilities to interact effectively with senior executives, clients, and candidates.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with CRM or candidate tracking systems.

  • Ability to manage multiple tasks simultaneously, prioritize effectively, and adapt quickly in a fast-paced environment.

  • Proactive attitude and ability to take initiative, problem-solve, and support continuous improvement of administrative processes.
