WHO WE ARE LOOKING FOR:
The Project Coordinator at Elevate Creative plays a critical role in ensuring projects stay on track, teams remain aligned, and deliverables meet expectations. You will assist in project planning, monitor progress, facilitate communication, and manage project documentation to ensure smooth execution from start to finish.
This role is ideal for someone who thrives in fast-paced, high-energy environments, excels at multi-tasking, and brings a solutions-oriented mindset to every challenge. You should have a keen eye for detail, strong organizational skills, and the ability to anticipate project needs before they arise.
We are looking for someone who is collaborative, proactive, and adaptable—a team player who can balance structure with flexibility and ensure that creative teams have the resources and support they need to bring big ideas to life.
ABOUT YOU:
EXPERIENCE:
- 0-2 years of relevant experience in project coordination, project management, operations, or a related role
- Experience working within design, architecture, experiential marketing, or the built environment is a plus
- Comfort working under guidance on mid- and large-scale projects while collaborating with multiple stakeholders
- Strong ability to track multiple moving pieces across complex timelines
- Experience supporting scheduling, logistics, task management, and documentation in a professional setting
- Familiarity with working on project teams that involve creative professionals, architects, or strategists is a bonus
SKILLS:
- Project & Task Management: Ability to balance multiple priorities, meet deadlines, and maintain efficiency
- Communication & Collaboration: Builds strong relationships, communicates effectively, and coordinates across teams
- Attention to Detail & Documentation: Ensures precision in tracking, reporting, and organizing project files
- Problem-Solving & Adaptability: Proactively identifies challenges, stays ahead of project needs, and adapts under pressure
- Technical Skills (Nice to Have): Familiarity with Revit, AutoCAD, SketchUp, Notion, Miro, FigJam, and budget tracking tools
ONCE YOU ARE HERE YOU WILL:
- Assist in developing detailed project plans, schedules, and timelines
- Coordinate team meetings, client updates, and status check-ins, ensuring key stakeholders stay informed
- Maintain accurate and up-to-date project documentation, including reports, meeting minutes, and task lists
- Track and organize project budgets, invoices, and expenses, alerting project managers to any financial concerns
- Help manage executive schedules, supporting C-suite leadership with logistical coordination
- Input and update tasks in Notion to maintain clear and accessible project tracking
- Identify and resolve potential project bottlenecks before they become major issues
NICE-TO-HAVE SKILLS:
- Experience working in sports, architecture, entertainment, or experiential design industries
- Familiarity with rendering tools (Enscape, Lumion, Twinmotion, etc.)
- Strong interest in design, branding, and experience-driven projects
- Prior experience in budget tracking, financial coordination, or reporting
