Job Summary:
We are seeking a detail-oriented and organized Project Coordinator I to provide essential administrative support throughout various project phases. This entry-level role is perfect for someone with strong organizational skills who thrives in managing documents, tracking project-related data, and ensuring accuracy in administrative processes. The Project Coordinator I will assist with formatting and proofreading documents, supporting bidding and construction administration, and providing basic funding documentation support.
Duties/Responsibilities:
- Document Formatting & Proofreading: Ensure consistency, accuracy, and clarity in project documents, reports, and specifications.
- Bidding Administration: Upload bid documents to QuestCDN, track bid activity, and compile bid tabulations for all submissions.
- Construction Administration: Organize and maintain project-related documentation, including submittals, RFIs, and change orders.
- Funding Administration Support: Assist with documentation and tracking for funding requirements, including Davis-Bacon wage compliance, AIS documentation, and DEQ paperwork.
- Collaboration: Regularly collaborate with teams throughout the company, as well as, local contractors, districts, and municipalities.
- General Administrative Support: Perform data entry, ensure that company procedures and standards are maintained, assist with the development of company standards, forms, and templates, and assist with additional tasks as assigned.
Education and Experience:
- High school diploma or equivalent required.
- 2 or more years of experience in an administrative role, ideally with a project-related field.
- 2 or more years of daily use of Microsoft Office is required.
- Experience with QuestCDN, Bluebeam, or other project administration software is a plus but not required.
- Community Development Block Grant Certification (CDBG) or equivalent in other states outside of Idaho within 6 months of hire or promotion.
Required Skills/Abilities:
- Strong attention to detail with a commitment to accuracy and quality.
- Strong written and verbal communication skills for clear and effective collaboration.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat.
- Ability to prioritize tasks, manage time effectively, and meet deadlines.
- Eagerness to learn and develop skills related to bidding, construction, and funding processes.
- Problem-solving mindset with a proactive approach to supporting project needs.
- Ability to work both independently and as part of a team.
