Description

POSITION SUMMARY:

The Project Coordinator is responsible for providing outstanding customer service and administrative support for the Material Take-off service by creating quotes, processing orders, file creation, effectively resolving customer issues, and supporting the overall Commercial Engineered Service team as needed. This individual collaborates with sales, clients, and engineering to meet all project activities and deliverables.

POSITION DUTIES AND RESPONSIBILITIES:

 

Serves as project liaison between engineering, sales, and the client to tie the take-off process together.

  • Provides exemplary customer service- including researching customer request to provide quotes, production files, process orders, request layouts and files, and retrieves any additional information to complete material Take-off orders.
  • Reviews and distributes all project documents needed to perform take-off.  This includes setting up and moving project folders. Documents include project specifications, facility drawings, insulation schedules, material submittals, and other construction-related documents.   
  • Reviews project and non-technical sections of the Project Definition Document (PDD) detailing project specifics and submittal packages.
  • Creates quotes/proposals. Distributes necessary documents to MSI’s sales teams and clients.
  • Coordinates and facilitates client edit meetings to review and finalize the client’s bill of materials (BOM).
  • Reviews and updates material take-off schedule and tracker to ensure customer & production timelines are being met.  Manages multiple phases/releases for projects assigned.
  • Proactively communicate with customers and sales to ensure all commitments and obligations are met and/or exceeded throughout the project/order.
  • Maintains an understanding of MSI pricing, products, and procedures.
  • Other duties as assigned to support the growth of MSI.

Qualifications

KNOWLEDGE AND SKILL REQUIREMENTS:

  • High School Diploma or GED required. Associates Degree in Project or Business Management, or related field preferred. In lieu of a degree equivalent combination of education and experience accepted.
  • Above average proficiency in MS Office Products, Proficient skill level in Excel.  Experience in BlueBeam desired.
  • Strong verbal and written communication skills.
  • Self-directed and able to independently manage time and projects in a fast-paced environment; results driven.
  • Hands-on knowledge of construction schedules, specifications and drawings preferred.

PHYSICAL DEMANDS AND WORK ENVIRONMENT

There is a minimal risk of injury.  Work hours are generally during normal business hours and average over 40 hours a week.  May require some additional hours when working with customers.  Some business travel may be required. Consistent and regular attendance required.
