We are seeking an experienced and detail-oriented Project Coordinator with 5-10 years of experience in the engineering and construction management industry. The ideal candidate will provide essential project support, ensuring efficient planning, execution, and completion of projects covering a wide variety of sectors, geographies and services. This role requires strong organizational skills, communication abilities, and proficiency in project management tools and processes.
You will also be part of a larger initiative to enhance and grow GEI’s existing PMO structure, approach and process. Reporting to the CDO within our growth development organization, you will work across our platform to help build the PMO network and capabilities, which will involve partnership with GEI’s leadership team, project managers and project support specialists.
Essential Responsibilities & Duties
- Assist in project planning, scheduling, and resource coordination/allocation to ensure timely project delivery.
- Support project managers and teams in tracking project milestones, deliverables, and budgets.
- Maintain and update project documentation, reports, and records, ensuring compliance with industry standards and GEI approaches.
- Coordinate and facilitate communication between stakeholders, contractors, engineers, subconsultants/subcontractors and internal teams.
- Monitor project risks and issues, assisting in the development of mitigation strategies.
- Prepare meeting agendas, take minutes, and follow up on action items to ensure progress.
- Assist in the preparation of reports, proposals, contracts, and presentations.
- Manage document control processes, ensuring all project-related files are properly organized and accessible.
- Track procurement and contract administration activities.
- Utilize project management software (e.g., MS Project, Primavera P6, or similar) to update schedules and reports.
- Identify opportunities for process improvements to enhance project efficiency and productivity.
Minimum Qualifications
- Education: Bachelor's degree in engineering, construction management, business administration, or a related field (preferred but not required).
- Experience: 5-10 years of relevant experience in project coordination, project administration, or PMO support in the engineering and construction industry.
- Technical Skills: Proficiency in project management software (e.g., MS Project, Primavera P6, Procore), MS Office Suite (Excel, Word, PowerPoint), and document control systems.
- Project Knowledge: Familiarity with engineering and construction project lifecycles, scheduling techniques, and budget tracking.
- Communication: Strong verbal and written communication skills with the ability to liaise between technical and non-technical stakeholders.
- Organizational Skills: Excellent ability to manage multiple tasks, prioritize workloads, and meet deadlines.
- Problem-Solving: Proactive approach to identifying challenges and implementing solutions.
- Attention to Detail: Strong analytical skills with a high level of accuracy in documentation and reporting.
- Collaboration: Ability to work effectively in a team-oriented environment and coordinate with various project stakeholders.
