DescriptionHill International is seeking a Project Coordinator in Phoenix, Arizona
The Project Coordinator works with Project Managers, following directives in a support role. This might include handling details related to conducting research, drafting reports, keeping project management tracking systems updated, fielding calls, and managing documentation from project team members. A Project Coordinator handles administrative functions, such as planning meetings, preparing meeting minutes, performing outreach, monitoring expenditures/spending and tracking budgets.
Responsibilities- Provide support to Design & Construction Services Division (DCS) including front desk duties, answering phone calls, receiving deliveries, and greeting visitors.
- Track and follow up on Adobe Sign routing of documents to be completed by all stakeholders.
- Maintain, review, distribute, and upload documents.
- Upload city procurement documents to Oracle Unifier or verify that an outside party has uploaded required plans and/or record drawings.
- Manage project-related paperwork by ensuring all necessary materials are current, and properly filed in the proper project management tools.
- Track expenditures and reconcile invoices or similar financial duties.
- Track sub consultant agreements/insurance/bonds as required.
- Schedule various meetings in person and virtually through Microsoft Teams or WebEx.
- Assist with preparing weekly and monthly project design and construction reports.
Qualifications- Bachelor’s degree in construction management or a high school diploma with 5+ years of administrative, project coordinator and or document control experience within the construction industry.
- Strong written and verbal communication skills, with the ability to relay detailed information.
- Knowledge of applicable programs, Microsoft Office, Word, Excel, PowerPoint, MS Teams, Adobe Acrobat, and SharePoint.
- Develop, interpret, and adhere to all policies and procedures.
- Must be willing to work on-site.
- Ability to work on a team and support project and organizational goals.
