Seeking detail-oriented, creative designer with experience in coordinating various projects, high level administrative support and developing designs for distribution projects.
The position is located at our Boerne office.
DUTIES AND RESPONSIBILITIES:
The principal duties and responsibilities of the Project Coordinator consists of, but are not limited to, the following:
- Researches, prioritizes, and follows up on incoming issues and concerns addressed, including those of a sensitive and confidential nature. Determines appropriate course of action, referral, or response.
- When needed, assist in invoicing for pre-billing process including checking meeting/travel schedule, vehicle charges, postage charges and company standard invoice letter format and chronological order.
- Maintain comprehensive and accurate records for assigned projects.
- Designing and producing complex documents, reports, and presentations.
- Collect and prepare information for meetings with staff and outside parties.
- Review and manage application process for Joint Use Management program. Accept or reject applications, coordinate with Telecom Companies by phone and email until application is complete.
- Coordinate with Client staff for Joint Use Management projects.
- Right of Way research
- Complete, submit, and maintain TxDOT permits. Prepare TXDOT permit drawings, acquire ROW maps as needed, coordinate with engineer to ensure ROW lines are properly drawn.
- Prepare and submit railroad permits.
- Develop and submit 811 locates within 48 hours of notice from the Client.Β Locates will have to be coordinated with the various utilities after submission.
- Work closely with Proposal Coordinator on timelines for proposals and coordinate with Principal to ensure the information is submitted on time.
- Prepare bid packages submitted on the Clientβs behalf. Assist with the evaluation of bid proposals.Β Convert bids documents to a contract, obtain signatures and ensure all the proper information has been provided like the certificate of insurance.
- Coordinate various other projects as they come about due to Client demands and market needs.
- Completes a broad variety of administrative tasks including: new project number requests, budget updates, filing; shredding; running errands; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries and agenda; and compiling documents for travel related meetings.
- Review field notes and prepare CAD plan and profile drawings using hand sketches and or transit shot information.
- Coordinate with field personnel concerning questions or missing items.
- Prepare KMZ files and download image files from TNRIS website, as required.
- Prepare plan and profile drawings using design guides, GPS coordinate information, and staking sheet information including proposed pole height and framing information.
- Perform design calculations, estimates and statistics using industry tools and methods.
- Maintain good project documentation, including calculations, telephone conversations, design decisions, rationale and filing copies of all pertinent information.
- Attend project meetings as necessary to coordinate design and address any issues.
- Quality control project work to maintain the expected standards for project deliverables, including CAD work ensuring accurate scales, proper spelling, proper formatting, and completeness.
- Complete timesheets daily
- Various other duties as assigned
REQUIREMENTS:
EDUCATION:
- Associates Degree in Drafting, Design, Graphic Design or GIS
- Possess technical problem-solving skills and able to communicate effectively, orally and in writing
SKILLS:
- Strong (effective) written and verbal communication skills, exceptional computer skills, with emphasis in engineering programs, project management, spreadsheet, and word processing applications.
- Strong skills of time management, organizational and multi-tasking
PHYSICAL:
- This position requires the ability to listen and hear, good eyesight, sitting, standing, walking, and use of hands and arms.
