The Project Coordinator will support the Operations Team at our Cleveland, OH location by managing essential administrative tasks throughout each stage of our environmental projects. Acting as a key liaison between Operations Management, internal departments, and customers, the Project Coordinator ensures that all project-related information is accurately and promptly entered into EnviroServe’s system from work order creation to invoicing.

 

Job Responsibilities:

Project Management: Create and manage customer projects, recording all required project and customer details, and ensure all project pricing is entered and/or attached in the company’s systems.

  • Procurement Support: Generate purchase requests, collaborate with operations to review and approve requests, and as needed provide vendors with purchase order numbers.
  • Sales Support: Generate the sales tab, collaborate with operations and sales teams to review project prior to reporting WO to Business Process/Billing Team.
  • Progress Monitoring: Monitor and follow up on daily project progress, providing detailed updates to operations management, internal departments, and other stakeholders.
  • Documentation: Ensure all required project paperwork is complete, accurate, and entered into the company’s ERP system for billing.
  • Collaboration: Work with internal departments to ensure projects move through each stage of the life cycle in a timely manner.
  • Financial Management: Ensure all project revenues and costs are properly accounted for in the company’s ERP system.
  • Project Planning: Assist in the development and implementation of project plans and strategies as needed.
  • Order Management: Coordinate with internal teams to process and approve purchase order change orders in the ERP system.
  • Follow-Up: Address outstanding or incomplete paperwork, missing labor/equipment hours with operations, and incomplete registered arrivals with operations and internal teams.

 

Required Qualifications:

  • High School Diploma or G.E.D.
  • Strong computer and data entry skills.
  • Proficient in Microsoft Word and Excel.
  • Proactive problem-solving skills and the ability to handle customer issues with empathy and efficiency.
  • Ability to work in a high pressure, high volume, fast paced environment.
  • 1-2 years in customer service, sales support, or a related role.
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with customers and Team Members.
  • Strong organizational and multitasking skills, with a high level of attention to detail.
  • Available for occasional travel.
  • Flexibility to work based on customer demand which may include some evenings and weekends.

 

Preferred Qualifications:

  • Educational background in Environmental Studies, Sustainability, Business Administration, or a related field.
  • Experience in the environmental industry.
  • Knowledge of environmental products, services, and sustainability practices is highly desirable.
