JOB PURPOSE or JOB SUMMARY:
The Project Coordinator is responsible for coordinating and supporting projects with various degrees of complexity and scope in accordance with the statement of work and company requirements provided by our various customers. This position manages incoming quote requests, order requests, change orders, schedule changes, schedule management, task management, and various other tasks as noted below. The Project Coordinator will utilize available sales, engineering, and project management tools to achieve success. Works in conjunction with Sales, Production, and Engineering teams to ensure quality service delivery. Strives to maintain and foster successful relationships with internal customers within the organization.
Assist with distribution of project tasks and responsibilities to appropriate areas. Ensures that the project team responds to and addresses inquiries and customer requests in a timely manner and helps coordinate project resources appropriately. Reports and escalates project issues to managements as needed.
ESSENTIAL DUTIES and RESPONSIBILITIES:
Responsible for the following primary activities:
- Manages all stages of the project lifecycle through a structured delivery approach
- Plans and oversees project to ensures they are completed on time and within budget while proactively managing scope creep
- Ensures project goals and objects, timelines, and project deliverables are being delivered following high-quality standards.
- Utilizes project management tools, techniques, and methods in delivery of project management services.
- Completes fully costed engineering proposals of engineered systems.
- Enters and maintains orders inside of the current business ERP.
- Work with our project management site to maintain task completion and data integrity.
- Coordinates the development of documentation for projects including training material and manuals that may be required.
- Tracks all project actions, change requests, issues, risks, and determines mitigation plans for successful project implementations and keep all parties and informed on impacts to schedule and budget.
Support Department and Management
- Work in office 4 days minimum a week required.
- Attends departmental meetings as required.
- Prepare briefing materials and participates in pricing reviews with management and customer representatives.
- Informs the immediate supervisor of any observed inaccuracies of omissions in quoted items or computer database.
- Collect and record data from various sources and publish in an effective manner to be used during management meetings.
Clerical/General Administrative
- Respond to routine emails, phone calls, etc.
- Make copies, print documents, etc.
- File paperwork

- Strong excel skills.
- Ability to collect, organize and analyze data; summarize findings; develop conclusions and recommendations from appropriate data sources.
- Must be comfortable with complex financials models and large data sets.
- Must work well in a fast-paced team-oriented environment.
PHYSICAL AND MENTAL DEMANDS:
- Frequently required to sit at a desk/workstation for long period of time; climb or balance; and stoop, kneel, crouch or crawl
- Ability to work at a computer terminal for extended periods of time
- Digital dexterity and hand/eye coordination in operation-Vision abilities require close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus
- Light lifting and carrying-must occasionally lift and/or move up to 10 pounds and lift and/or move 25 pounds
