Responsibilities

  • Communicating information and preparing/distributing correspondence.
  • Assisting with the preparation and formatting of proposals and reports.
  • Coordinating with contractors and processing payment applications.
  • Preparing, distributing, and administering contract documents.
  • Assisting with permitting submissions for site development plans, subdivision plans, and plats.
    • Maintaining permit logs and managing statuses.
    • Posting updates on MyGovernmentOnline.com.
    • Communicating with regulators about permit statuses.
  • Supporting the project bidding phase:
    • Organizing specifications and drawings.
    • Maintaining the plan holders list.
    • Managing and posting updates on the CivCast internet site.
    • Creating pre-bid meeting documents.
    • Preparing bid tabulation spreadsheets.
  • Supporting the project construction phase:
    • Coordinating shop drawing submittals.
    • Monitoring MyGovernmentOnline.com for permit notifications.
  • Monitoring and reporting project status against schedules.
  • Participating in project meetings
  • Business Development and Client Engagement Responsibilities
    • Understanding and implementation of a business development plan, including identification of target market sectors and potential clients
    • Establish meaningful contact with qualified leads through industry involvement, outreach, and in-person meetings
    • Identify and participate in business/professional organizations and events, including lunch meetings that promote or generate business relationships
  • Providing general administrative and clerical support.
  • Reviewing Excel spreadsheets and creating project reports.

Requirements

  • Associate degree preferred or equivalent relevant experience
  • 4+ years of relevant project coordination experience in Austin
  • Experience with Travis County permitting and expediting preferred
  • Experience with DocuSign is a plus
  • Excellent customer service skills
  • Ability to work well under pressure and handle deadline-driven tasks
  • Strong understanding of project and workload prioritization, multitasking, and adjusting priorities
  • Proficiency in MS Office 365 (Excel, Outlook, PowerPoint, Word)
  • Experience in the AEC industry is a plus
  • Ability to work with multiple managers.
  • Valid driver’s license and reliable transportation.
  • Hybrid work model: Preferred 3 days in office, 2 days remote, with in-person client meetings as required.
