As a Project Coordinator, you will play a key role in ensuring the smooth execution of marketing campaigns by managing project timelines, creative assets, and internal workflow processes. You will act as the liaison between the Account Manager, Design Team, and Marketing Strategists, ensuring that all creative assets are collected, organized, and delivered on time. Your role will involve tracking campaign requests, managing revisions, and preparing proof decks for client approval. Your ability to stay organized, detail-oriented, and proactive will be essential in ensuring that marketing deliverables are executed seamlessly.

This position is ideal for someone who enjoys project management, organization, and cross-functional teamwork, with a keen eye for process efficiency and execution.

Primary Responsibilities:

Campaign Coordination & Project Management

  • Work closely with the Account Manager to confirm which email and digital campaign concepts clients want to move forward with each month.
  • Gather all necessary creative assets from the client (logos, images, copy, branding guidelines, etc.).
  • Track all campaign requests and timelines in Airtable or other project management tools.
  • Assign and monitor project deadlines, ensuring all creative assets are delivered on time.

Creative & Proofing Process Management

  • Collaborate with the Design Team to ensure campaign concepts are updated quarterly.
  • Organize creative requests into structured creative packages for the design team to execute.
  • Prepare proof decks containing all marketing materials, ensuring they are client-ready for the Account Manager to present.
  • Track and enter any design revisions back into the creative workflow, ensuring timely updates from the design team.
  • Perform quality checks on design assets to ensure they align with client expectations before sending them for final approval.

Internal Communication & Cross-Functional Collaboration

  • Act as the main point of contact between the Account Manager, Design Team, and Marketing Strategists to ensure smooth execution of campaigns.
  • Assist in brainstorming new creative campaign ideas with internal teams.
  • Ensure the Account Manager has all necessary marketing materials for client presentations and approvals.
  • Work with Digital Marketing Strategists (DMS) and Email/Communication Marketing Strategists (ECMS) to hand off finalized creative for campaign activation.

Process Optimization & Documentation

  • Maintain accurate and updated records of all projects, revisions, and approvals.
  • Identify opportunities to improve workflow efficiency and project tracking.
  • Assist in documenting standard operating procedures (SOPs) to streamline marketing execution.

Skills & Competencies:

Project Management & Organization:

  • Ability to manage multiple projects simultaneously while meeting tight deadlines.
  • Proficiency in project management tools (e.g., Asana, Airtable, ClickUp, Monday) and methodologies.

Communication & Collaboration:

  • Ability to work across departments to align on deliverables and expectations.
  • Strong written and verbal communication skills for coordinating with internal teams.
  • Excellent communication, organizational, leadership, and interpersonal skills.
  • Ability to effectively manage multiple projects simultaneously and meet tight deadlines.
  • Strong self-motivation and the ability to work independently with minimal supervision.

Detail-Oriented & Problem-Solving:

  • Sharp attention to detail when reviewing creative assets and proof decks.
  • Ability to anticipate project roadblocks and proactively resolve them.
  • Strong analytical and problem-solving abilities.

Marketing & Creative Process Knowledge (Preferred but Not Required):

  • Basic understanding of marketing campaign workflows (email, digital, and social media).
  • Familiarity with Adobe Creative Suite, Canva, or other design tools is a plus but not required.

Minimum Qualifications:

  • 1–3 years of experience in project coordination, marketing operations, or account support.
  • Experience working with marketing teams, creative agencies, or digital campaigns is a plus.
  • Certifications in project management or marketing are a plus but not required.

Technical Skills:

  • Proficiency in Airtable, Asana, or other project management software.
  • Strong proficiency in Google and Microsoft Suite (Docs, Sheets, Slides) for tracking projects and preparing proof decks.
