Description

As a Project Coordinator at Environmental Design Group, you will be part of a multidisciplinary team that coordinates and administers various financial, project-specific, and client-specific programs for the Site Development POD. Individuals in this position must be well-organized, detail-oriented, self-directed, able to manage multiple deadlines and projects simultaneously, and excellent communicators.


As a Project Coordinator at Environmental Design Group, you will:

  • Administer and lead various financial, project-specific, and client-specific programs for the PODs.
  • Approve and process opportunities and job forms.
  • Compose, review, and format contract-related documents, including letter proposals, verbal agreements, master service agreements, and task orders.
  • Prepare various documents and agreements, including proposals, letters, reports, labels, transmittals, subcontractor agreements, project manuals, and project agreements.
  • Partner with Project Managers and Directors to keep client and project information current via Cosential (EDG’s client relationship management system).
  • Attend client meetings with Directors or Project Managers to ensure proper follow up and communications.
  • Complete new project setup, including creating and updating records in the accounting and CRM systems.
  • Prepare and distribute a variety of complex documents.
  • Maintain a database and electronic files for client records, financial records, contractor files, project records, and a master list of deliverables for projects.
  • Schedule, plan, and participate in meetings and events as necessary, and record meeting minutes.
  • Ensure jobs are properly closed upon completion.
  • Manage the Client Feedback Tool for the POD.
  • Assist PMs with progress reports.
  • Create labels and send mailers as needed.
  • Proofread reports for grammar, spelling, and completeness.
  • Use excel or other programs to make graphs and summaries for data and presentations.
  • Perform quality assurance checks as requested by the Project Managers or Director.
  • Input Cosential entries including voice recordings, notes, or other communications.
  • Carry out any other responsibilities as assigned for the organization’s best interest.

Position Type/Expected Hours of Work


This is a full-time regular position.


Travel is minimal for this position.

  • If necessary to drive for a company purpose, you must have a valid driver’s license and possess a driving record that will enable the employee to be insurable under the Company’s standard vehicle insurance and general comprehensive liability insurance without additional costs to the Company.
Requirements

Qualifications

  • A high school diploma or equivalent is required. An associate or bachelor’s degree in business administration is preferred.
  • 0-5 years of experience in an administration or related position is required. Knowledge of the A/E/C industry is preferred.
  • Must be proficient in Microsoft Office, Word, Excel, Outlook, and PDF Editor.
  • Positive and outgoing personality, with the ability to conduct client, vendor, and employee outreach.
  • Ability to juggle multiple tasks and coordinate efforts with multiple team members.
  • Excellent written and oral communication skills with the ability to address technical details in a clear, concise, and compelling manner.
