The Opportunity


This is an entry-level role learning all aspects of Mechanical Products Nevada products and systems to estimate and manage projects. As the Project Coordinator, this individual will be responsible for coordinating submittals, documentation, and ship dates for each project. Must be detailed and customer service oriented and have excellent organizational skills. Position requires a high level of oral and written correspondence with the Sales Team, Customers and Manufacturers to ensure timely completion of assigned projects while maintaining customer satisfaction. Must be able to work well with others in a fast-paced & high-volume environment.

Responsibilities

Responsibilities

  • Create and maintain electronic job files for each project throughout its duration.
  • Download, organize and update electronic project documents.
  • Manage multiple projects on an ongoing basis.
  • Organize project related data for order entry and administration.
  • Respond to and track IOM & Submittal requests.
  • Track ship dates and shipments for delivery; communicate with customers regarding updates.
  • Utilize CRM database for project coordination and administration.
  • Bid and project information entry and update.
  • Project information and credit application details
  • Project status tracking and reporting
  • Order acknowledgments.
  • Financial review and update
  • Service requests, documentation, and follow-up.
  • Collaboration with Parts, Service, Sales and Accounting (invoicing coordination)
  • Communicate effectively with team members, customers and factories concerning details of projects.
  • Coordinate warranty administration with service, parts and manufacturers.
  • Track completion of warranty and pursuing factory reimbursements.
  • Manage distribution of project documentation and closeout materials to customers:
  • Submittals, Warranties, IOMs, Spare Parts, Startup Reports
  • Manage startup and warranty coordination requests, documentation, and project details with Service.

Qualifications

The Required Profile

  • Associate’s degree in business or related field and 3+ years’ experience in customer service, project coordination or administrative role; or 5-7 years’ equivalent combination of education and experience
  • Ability to prioritize, multi-task, deal with ambiguity and manage high volume projects.
  • Strong PC skills in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook
  • Previous experience in HVAC, mechanical contracting, engineering, or construction industry experience a plus

Environmental Requirements

Will be required to work in an office environment and frequently in the field.

 

Physical Demands

While performing the duties of this job, the employee is regularly required to use hands to operate the computer keyboard and telephone, reach with hands and arms. The employee frequently is required to stand, walk, and sit. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl. The employee must regularly lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
